You can choose how this email looks by configuring the email subject line as well as the email message body.\n<\/p>\n<h2>Default subject line<\/h2>\n<p>If you have not customised your email subject line, then Onsight will send the order\/quote email confirmations with the following default email subject lines.<\/p>\n<p>For your company \/ internal emails (for example your warehouse) the email subject line will be:  <\/p>\n<pre>New sales order #SO0000000XXX \u2013 Name of your customer<\/pre>\n<p>For your customer and\/or customer login the email subject line will be: <\/p>\n<pre>Name of your company: New sales order captured #SO0000000XXX<\/pre>\n<h2>Custom subject line and email body<\/h2>\n<p>\nYou can create your own custom email subject line and email body for your company emails and your customer emails by following these steps:<\/p>\n<ul>\n<li>Log in to the Onsight admin console at <a href=\"https:\/\/web.onsightapp.com\" target=\"_blank\" rel=\"noopener\">https:\/\/web.onsightapp.com<\/a>.<\/li>\n<li>Click on \u2018Setup\u2019 from the left-hand side menu.<\/li>\n<li>Click on the \u2018Configuration\u2019 menu item.<\/li>\n<li>Click on the \u2018Order Emails\u2019 tab or the &#8216;Quote Emails&#8217; tab<\/li>\n<li>In the \u2018Email Subject\u2019 field you can fill in your custom email subject line<\/li>\n<li>In the \u2018Email Message\u2019 field you can fill in your custom email message<\/li>\n<\/ul>\n<p>You can add any text, for example \u2018New sales order\u2019 or \u2018Order confirmation\u2019. <\/p>\n<p>In addition, you can display specific information that is related to the order or quote. For example, you can display the order number, the customer tied to the order, the name of the person who created the order and the date that the items in the order must arrive at their destination. To display this additional information you need to use specific placeholders and then these placeholder will get replaced by the actual text. <\/p>\n<h2>Placeholders for additional information<\/h2>\n<p>\nThe list below shows all the possible placeholders that you can use to include additional information in your email subject line and the email body. <\/p>\n<table width=\"70%\" style=\"font-size: 14px;\">\n<tr>\n<td>ORDERNUM<\/td>\n<td>The auto-generated order number<\/td>\n<\/tr>\n<tr>\n<td>ACCOUNTREFNO<\/td>\n<td>The user supplied order reference<\/td>\n<\/tr>\n<tr>\n<td>\nCUSTOMER<\/td>\n<td>The customer tied to the order<\/td>\n<\/tr>\n<tr>\n<td>DATE<\/td>\n<td>The date that the order was created<\/td>\n<\/tr>\n<tr>\n<td>DELIVERYDATE<\/td>\n<td>The delivery date<\/td>\n<\/tr>\n<tr>\n<td>NAME<\/td>\n<td>Your company name<br \/>\n<\/tr>\n<tr>\n<td>PAYMENT<\/td>\n<td>Specifies the payment type for orders (blank if it is a quote)<\/td>\n<\/tr>\n<tr>\n<td>SALESREP<\/td>\n<td>The user who created the order<\/td>\n<\/tr>\n<tr>\n<td>TOTAL<\/td>\n<td>Total cost of the order<\/td>\n<\/tr>\n<tr>\n<td>TOTALQUANTITY<\/td>\n<td>The total number of products in the order<\/td>\n<\/tr>\n<\/table>\n<h2>How to use placeholders in the email subject<\/h2>\n<p>\nLet\u2019s use an example as follows&#8230;.if you want to configure an email subject line that goes to your warehouse that displays the following information: <\/p>\n<pre>New order confirmation: Order #SO000000XXX \u2013 Customer name \u2013 Delivery date<\/pre>\n<p>And, in addition, if you want to configure an email subject line that goes to your customer that displays the following information:<\/p>\n<pre>New order confirmation: Order #SO000000XXX<\/pre>\n<p>This is how you have to configure the subject line: <\/p>\n<pre>New order confirmation: Order # %ORDERNUM% |-| |CUSTOMER| |-| |DELIVERYDATE|<\/pre>\n<p>The placeholders that are surrounded by the percentage symbol (%) will be included in both the warehouse email and the customer email. The placeholders that are surrounded by the pipe symbol (|) will ONLY be displayed in the warehouse email.\u00a0The ability to differentiate the warehouse email and customer email only happens in the subject line, NOT in the message body.\u00a0<\/p>\n<h2>How to use placeholders in the email message<\/h2>\n<p>\nYou can type any text that includes placeholders that are surrounded by the percentage symbol (%). The message body will be the same for both the warehouse email as well as the customer email.<br \/>\nFor example: <\/p>\n<pre>Hi,\r\n\r\nA new order has been captured for %CUSTOMER%.\r\n\r\nAttached please find a pdf copy of this order for your attention.\r\n\r\nRegards,\r\n\r\nThe %NAME% team\r\n<\/pre>\n<\/p>\n<p><h2>Some additional information<\/h2>\n<ul>\n<li>On US keyboards, the pipe symbol (|) is on the same key as the Backslash (\\) key. This is just above the Enter key and just below the Backspace key. Pressing and holding down the Shift key while pressing the Backslash key creates the pipe symbol on your screen.\n<li>For the subject line, remember to use the pipe symbol (|) if you don\u2019t want your customer to see the information.\n<li>You can use the dash symbol (-) to separate the items in the subject line.\n<\/ul><\/p>\n","protected":false},"excerpt":{"rendered":"<p>When you create an order or quote, Onsight will automatically send you and your customer an email confirmation of your order or quote.
