Once the order has been processed you can then go into QuickBooks and convert the estimate into an invoice. We do not send them as invoices because invoices are a final sale:\u00a0the Quantity on Hand field in QuickBooks is reduced when a QuickBooks invoice is created. A QuickBooks estimate does not reduce the QuickBooks Quantity on Hand value. By using estimates, you can easily make changes to the order in QuickBooks (as an estimate) without affecting your GL accounts or your stock numbers. Once the final order is ready and dispatched, you can convert the QuickBooks estimate into an invoice. <\/p>\n<p>If you are sure you want to do this differently, we can customise your integration so that Onsight orders are sent to QuickBooks as invoices. We do not recommend this option. <\/p>\n<p>By default, Onsight sales quotes are sent to QuickBooks as estimates in the &#8216;Pending&#8217; state. You can then approve the quote in Onsight, which will generate an order in Onsight and an estimate in QuickBooks. Alternatively, you can bypass Onsight and directly convert the QuickBooks estimate into an invoice. This process can also be customised. <\/p>\n<p>Onsight does not overwrite invoices numbers or estimate numbers in QuickBooks. Invoices and estimates get their numbers from the next sequential number in QuickBooks.<\/p>\n<p>We use estimates and invoices because most versions of QuickBooks Online only has those two types of transactions. QuickBooks Online did not have sales orders for a long time. Very recently, sales orders have been added to QuickBooks Online Plus and QuickBooks Online Advanced. If you have those versions you can manually create sales orders in QuickBooks Online. However, we still cannot send Onsight orders to QuickBooks Online as sales orders. This is not due to any issue or limitation in Onsight. This is because the QuickBooks Online API does not yet support sales orders. That means that it is not possible to copy sales orders from any external system into QuickBooks Online. When the QuickBooks API is updated, we will offer the option to send Onsight orders into QuickBooks as sales orders. <\/p>\n","protected":false},"excerpt":{"rendered":"<p>By default, Onsight sales orders are sent to QuickBooks as estimates in the &#8216;Accepted&#8217; state.
