{"id":4905,"date":"2026-06-21T11:05:29","date_gmt":"2026-06-21T11:05:29","guid":{"rendered":"https:\/\/www.onsightapp.com\/user-guide\/?p=4905"},"modified":"2026-06-21T11:24:19","modified_gmt":"2026-06-21T11:24:19","slug":"how-to-send-orders-to-myob-when-you-are-offline","status":"publish","type":"post","link":"https:\/\/www.onsightapp.com\/user-guide\/how-to-send-orders-to-myob-when-you-are-offline\/","title":{"rendered":"How to send orders to MYOB when you are offline"},"content":{"rendered":"<p>This article explains how you can capture orders in the Onsight mobile app when you are offline, and how those orders later sync through into MYOB once you are back online.<\/p>\n<h2>Overview of how we send orders to MYOB when offline<\/h2>\n<p>Onsight is built for field sales teams who need to keep taking orders while visiting customers, even when mobile reception is unreliable or there is no internet connection available.<\/p>\n<p>The typical flow is:<\/p>\n<ul>\n<li>A sales rep creates an order in Onsight while offline.<\/li>\n<li>The order is stored locally on the mobile device.<\/li>\n<li>When the device connects to the internet again, the order syncs to the Onsight server.<\/li>\n<li>After the order reaches the Onsight server, it is sent to MYOB through the Onsight MYOB connector.<\/li>\n<\/ul>\n<p>This allows your reps to continue selling without waiting for a signal. Once the device reconnects and the sync has completed, the office team can work with the new order in MYOB.<\/p>\n<h2>What &#8220;offline mode&#8221; means in Onsight<\/h2>\n<p>When you are offline, the Onsight mobile app cannot communicate with the Onsight server, and it also cannot communicate directly with MYOB.<\/p>\n<p>To keep the app usable, Onsight stores a local copy of the key information your reps need while they are on the road:<\/p>\n<ul>\n<li>Product data, pricing, stock information, customer contact details, tax codes, and sales rep data are copied from MYOB to Onsight and downloaded to the device.<\/li>\n<li>Orders and quotes created while offline are saved locally on the device.<\/li>\n<li>When connectivity returns, the app syncs the offline activity back to the Onsight server.<\/li>\n<\/ul>\n<p>In other words, offline mode allows the app to keep working from the data already downloaded to the device. The device does not need a direct connection to MYOB while the rep is creating the order.<\/p>\n<h2>How to ensure reliable data for offline work<\/h2>\n<p>When you log in to the Onsight app for the first time, the app needs to download your product, pricing, customer, tax, stock, and related account data. Depending on the size of your MYOB data set, this initial sync can take a few seconds or a few minutes. After the first sync, Onsight usually performs incremental syncing, which means only recent changes are downloaded.<\/p>\n<p>Data can only be refreshed while you are online. If your reps are going into an area with limited reception, we recommend syncing before they go offline. This helps ensure that the latest MYOB product data, prices, stock levels, customers, and tax information are available in the app before orders are taken.<\/p>\n<p>To manually trigger a sync:<\/p>\n<ul>\n<li>Tap the back button until you can see the hamburger icon, which is the icon with 3 horizontal lines.<\/li>\n<li>Tap the hamburger icon and then tap &#8216;Sync data&#8217;.<\/li>\n<li>Depending on how many updates need to be downloaded, the sync can take a few seconds or a few minutes.<\/li>\n<\/ul>\n<p>You can also log out and log back in again to refresh the data.<\/p>\n<p>The following types of data are normally copied from MYOB to Onsight and then made available to the mobile app:<\/p>\n<ul>\n<li>New products<\/li>\n<li>Updates to existing products<\/li>\n<li>Product pricing<\/li>\n<li>Stock information<\/li>\n<li>Customer contact details<\/li>\n<li>Customer updates<\/li>\n<li>Tax code data<\/li>\n<li>Employee or sales rep data, depending on your configuration<\/li>\n<\/ul>\n<p>Some MYOB data fields are treated as master data. This means that if those fields are changed in Onsight, the changes may be overwritten the next time data is copied from MYOB. For example, product names, product descriptions, product codes, prices, taxes, active status, and stock on hand are normally managed in MYOB. Customer fields such as company name, billing details, shipping details, notes, and active status are also normally managed in MYOB.<\/p>\n<p>Onsight also has additional product and customer fields that can be maintained in Onsight without being overwritten by MYOB. These include fields such as product categories, SKU, quantity increments, minimum and maximum order quantities, customer groups, customer custom fields, product custom fields, customer-specific pricing rules, discounts, and related product settings.<\/p>\n<h2>How to capture an order when you are offline<\/h2>\n<p>You can create a sales order in the Onsight app while you are offline. The steps are the same as when you are online.<\/p>\n<ul>\n<li>Tap Customers and select the customer you want to create the order for.<\/li>\n<li>Tap Products, browse your catalogue, and tap the + button to add items to your cart.<\/li>\n<li>Tap the cart icon to review the draft order.<\/li>\n<li>From the draft order screen, you can place the order immediately by tapping Create Order.<\/li>\n<li>Alternatively, tap Next to add extra details such as fees, payment method, delivery address, delivery date, contact person, sales rep, and customer signature, and then tap Create Order.<\/li>\n<\/ul>\n<p>If you are offline, the order is saved on the device. It will sync automatically once the device has an internet connection again. After syncing, you will receive an email containing the order PDF.<\/p>\n<h2>Creating new customers while offline<\/h2>\n<p>New customers can also be created in Onsight. If a rep creates a new customer in Onsight, or creates an order for a new customer, that customer will be sent to MYOB once the device has synced back to the Onsight server.<\/p>\n<p>After the customer has been created in MYOB, MYOB becomes the master system for the main customer contact fields. Any future changes made in MYOB to those fields will be copied back to Onsight.<\/p>\n<h2>How the offline orders get sent to MYOB once you are back online<\/h2>\n<p>When your device reconnects, syncing happens in two stages.<\/p>\n<h3>Stage 1: Mobile device to Onsight server<\/h3>\n<p>As soon as the app detects that it is online, it uploads any offline activity, including:<\/p>\n<ul>\n<li>Orders created while offline<\/li>\n<li>Quotes created while offline<\/li>\n<li>New customers created while offline<\/li>\n<\/ul>\n<p>At this point, the order is safely stored on the Onsight server.<\/p>\n<h3>Stage 2: Onsight server to MYOB<\/h3>\n<p>Once the order is on the Onsight server, the Onsight MYOB connector sends it into MYOB according to your integration settings.<\/p>\n<p>Typically:<\/p>\n<ul>\n<li>Orders created in Onsight are sent to MYOB as orders.<\/li>\n<li>Quotes created in Onsight are sent to MYOB as quotes.<\/li>\n<li>New customers created in Onsight are created in MYOB.<\/li>\n<\/ul>\n<p>The MYOB connector supports many customisation options, so the exact way your orders and quotes appear in MYOB may depend on your setup. For example, your integration may be configured to send orders and quotes in tax-inclusive or tax-exclusive mode. Your Onsight order number or order reference can also be mapped to fields in MYOB such as the Journal Memo field, Customer PO Number field, Comment field, or Referral Source field.<\/p>\n<p>This two-stage design is important because the mobile app does not need to connect directly to MYOB while the rep is out in the field. The app only needs to reconnect long enough to upload the order to the Onsight server. After that, the Onsight-to-MYOB sync can complete automatically.<\/p>\n<h2>Important notes about products and stock<\/h2>\n<p>Products should be created and managed in MYOB, not in Onsight. When a new product is created in MYOB, it is copied to Onsight automatically.<\/p>\n<p>Stock levels are also copied from MYOB to Onsight. By default, Onsight uses the stock value copied from MYOB, but your integration may be customised depending on whether you want to use MYOB&#8217;s available stock, quantity on hand, or another stock-related field.<\/p>\n<p>If a product or customer is marked as inactive in MYOB, it will also be marked as inactive in Onsight.
