How does my data sync in the app?

Please note that data can only sync when you are online. Some data will sync automatically in the background and some data needs to be manually synced when you want to update the info in the app.

What data syncs when you log in?

When you log into the app and you have a stable internet connection, all your data will be updated. When you log in for the first time, depending on how many products and customers need to be synced, the data sync can take a few minutes. For subsequent logins, the system will not do a full sync but will only update changes that were recently made on your account. This will only take a few seconds.

When you log in for the first time, you need to have an internet connection in order for the app to open. For subsequent logins, you can log in in offline mode and continue using the app as per normal. When the admin of your account makes product or customer changes, you will need to either sync manually or log out and log back in again, so that your app is up to date. When you do either of these things you need to have a working internet connection for the updates to be received.

How do orders and quotes sync?

When you create an order or a quote; or when you add or edit a customer on your device, the data will sync automatically when you are online. If you are offline while you create an order or a quote; or when you add or edit a customer, you need to manually trigger the sync when you are online again.

How does product data and customer data sync?

Product and customer database updates that are done on the admin console will sync automatically when you log in or when you manually trigger the sync. This includes:

  • New products
  • Updates to existing products
  • Updated product prices
  • Stock updates
  • New customers
  • Updates to existing customers

This information also updates automatically periodically. When you switch away from the Onsight app or lock your device, after a few hours, the app may stop running in the background to free up memory. When you come back to the app again, it will do a full sync automatically before starting up. High-end devices with lots of memory can keep the app in memory for a longer time so the syncs will happen infrequently, but most devices update automatically after 9 to 12 hours.

How to manually trigger a data sync or data reset

  • Tap the back button until you can see the hamburger icon (3 horizontal lines).
  • Tap the hamburger icon and then tap ‘Sync data’.
  • Depending how big the changes are in the database, the sync can take a few seconds or a few minutes.

Or you can just log out and log back in again to achieve the same thing.

Alternatively, you can also reset all your data. This process will remove all the data from the device and then download your information from our main database. This process should only be applied if the standard sync process does not bring down all the latest information, which happens on rare occasions due to a data conflict on your device.

When you reset your data, all pending orders, quotes and drafts will remain safe on your device.

Depending on the size of your data, the reset process can take a few minutes to complete.

To reset your data, follow these steps:

  • Ensure that you are in online mode.
  • Tap on the three horizontal lines located at the top left-hand side of the screen.
  • Select ‘Account Settings’.
  • Choose ‘Reset Data’.
  • A pop-up explaining what the reset data button will do.
  • Tap on ‘OK’ or ‘Cancel’.

How to force an automatic data sync

If you update your product and customer information frequently, you can ask us to automatically trigger a sync of the apps.

By default, all apps automatically sync once a day.

We can customize your account, free of charge, to automatically sync more frequently, for example, every 12 hours or every 6 hours, or even more frequently.
